1. What We Collect
When you register for MarkupMate, we collect your email address, name, business name, and business contact details. When you use the service, we process the supplier invoice and quote PDF files you upload and the customer documents we generate for you.
2. How We Use Your Data
Your data is used solely to provide the MarkupMate service — reading supplier invoices and quotes, applying your markup, and generating customer documents. We do not sell, share, or use your data for advertising purposes.
3. PDF & Document Storage
Uploaded supplier PDFs and generated customer documents are stored securely on our servers. You can delete your documents at any time. When you delete your account, all associated documents are permanently removed.
4. Email Inbox
If you use the email forwarding feature, emails sent to your unique MarkupMate address are processed to extract PDF attachments. We do not read or store the email body content beyond what is necessary for processing. Emails are processed automatically and then marked as read on the mail server.
5. Third-Party Services
We use the following third-party services to operate MarkupMate:
- Railway (hosting & database)
- Anthropic Claude (AI invoice reading)
- Resend (transactional email)
- QuickBooks / Xero (accounting sync, only when you connect)
6. Security
All data is transmitted over HTTPS. Passwords are hashed using bcrypt. API tokens for accounting integrations are encrypted at rest. We follow industry-standard security practices to protect your data.
7. Your Rights
You can export or delete your data at any time by contacting us at hello@markupmate.co.uk. Under GDPR, you have the right to access, correct, or delete your personal data.
